The Importance of Permit to Work Analytics

Permit to Work processes are a necessary part of a company’s Safety management process, but they aren’t often recognized as a source of valuable insights. With the majority of companies using paper trails to manage their Permit to Work process, the ability to consolidate information, link that information to other areas of the business, and ultimately draw impactful insights is non-existent. Using software to manage your Permit to Work process can unlock those important hidden insights.

Linking Permit to Work data with EHS information can help Safety managers:

  1. Perform accurate audits to ensure Permit to Work procedures are properly followed

If it isn’t measured and tracked, then it likely isn’t happening. Auditing your Permit to Work process is essential to ensure that management, supervisors and workers alike are properly following your standardized process.

It will also allow you to objectively look at the process and identify areas for improvement, such as storing documents in a more accessible place, or better organizing how documents are filed and searched. In the end, ensuring the process is optimized and adhered to will reduce the risk of injuries causes by non-compliance, reduce your risk of hefty OSHA fines, and get your workers out of the administration office and on to the worksite faster.

  1. Include Permit to Work information as part of an ongoing investigation

Permits to Work have valuable information that can aid an ongoing incident investigation, such as who authorized the job (and if they had authority to do so), which workers signed the permit, and if the permit was active, suspended or closed when the incident took place. This information will give safety managers a more comprehensive view of the factors that contributed to the incident, and help them apply corrective actions to reduce the risk of the incident repeating.

  1. Identity what types of permits are more likely to result in an incident, and use that knowledge to improve high-risk procedures

Once data is linked to an incident, Safety managers can then draw insights to determine if some types of permits (such as permits from a certain location, authorized by a particular manager, or even for a particular job type) result in more incidents than others. This prescriptive data can then turn into preventative measures, such as altering permits for certain job types or providing necessary training to workers at higher-risk locations. These proactive insights and actions will help reduce the risk of an incident occurring, ultimately lowering your workers compensation board costs and risk of regulatory fines.

  1. Understand how many Permits to Work are active, suspended or closed

Real-time insights into ongoing, suspended or closed Permits to Work can help Safety managers better understand the worksite activities that may impact their team. With paper systems, workers rely on trust that managers have checked with their peers to ensure their permit does not conflict or impact another group. This cross-reference is often missed, especially when the two groups do not normally work together. Giving managers easy insight into all ongoing Permits to Work – not just the ones that impact their direct working group – can help bridge that communication gap.

Overall, Permits to Work are an untapped source of valuable data that can help reduce incident rates, lower the risk of OSHA fines, and improve communication between teams. 1. I have a friend doing contract work at oil refineries etc. Like you mentioned, much time is either spent in training or building up to a point that they will permit them to even start work. Just part of the process really. Safety is vitally important in those types of areas.
